Enterprise resource planning systems can provide a wealth of information but exploiting their data is often highly complex and searches can be laborious.

Managing your spare parts

Are you currently using your enterprise resource planning system to manage your spare parts? Do you want to continue to do so, but to integrate your data into your maintenance mangement software ? Rest assured – this can be done.

How do I link the spare parts in my Mobility Work  with the parts in my ERP system?

Each spare part in your ERP software will have an ID or an item code. All you will need to do is add the same ID or item code to the beginning of the name of each piece of equipment. This will allow you to link the spare parts in Mobility Work with those in your enterprise resource planning system.

What information will be copied onto my Mobility Work spare part equipment forms?

The Mobility Work spare part forms contain the following fields:

  • Quantity
  • Location
  • Minimum stock
  • Maximum stock
  • Unit price

So you can import any of this information into Mobility Work, as well as any other data from your ERP software by:

  • Creating a custom field and sending the data to this field
  • Sending any type of information to the "Description" field for the spare part

Do I need to remove spare parts from stock in my Mobility Work or in my enterprise resource planning system?

You can choose either of these solutions. Thanks to the Mobility Work maintenance software's PLCs, you can send or receive data from any system. However, it is preferable to use your ERP software to remove spare parts from stock so that the movements can be duplicated in your Mobility Work CMMS. We recommend that you continue to manage your cash flows in your enterprise resource planning system as, more often than not, this will be important for your company's cost accounting, but both options are available.

How can I remove spare parts from stock in my ERP system and link the information to my Mobility Work?

This is very easy to do. When a maintenance task is created, a job number will be automatically generated and assigned to it. All you will need to do is copy this number into an available field in your enterprise resource planning system when you remove your spare part. An engineer can do this when a part is removed or, alternatively, your warehouse manager can simply transfer the number from the paper-based stores requisition to the enterprise resource planning system, depending on your preferred procedure.

What information will be copied to the maintenance task in my Mobility Work?

Information on removed spare parts will be copied over to your CMMS software. This will include the name of the spare part, the quantity removed, the unit price, and the total price for all of the spare parts removed for the job. The spare parts will also appear automatically on your equipment forms, systematically generating a parts list for each item.

What types of data analysis are available?

The data copied from your enterprise resource planning system to your Mobility Work will help you enrich your maintenance tasks in the analytics module. Cross-referencing your data will enable you to access dynamic indicators, including the following information:

  • Budget for the spare parts used
  • Number of parts removed
  • Costs of the removed spare parts by month
  • Costs of the removed spare parts by equipment
  • Costs of the removed spare parts by sub-assembly
  • Costs of the removed spare parts by tag (preventive, electrical, mechanical, scheduled shutdown, etc.)
  • Costs of the removed spare parts by cost centre
  • Costs of the removed spare parts by commodity group
  • Costs of the removed spare parts by item code
  • Frequency of the removal of spare parts by item code

Managing orders

Are you currently using your enterprise resource planning system to manage your orders and purchase requisitions? Do you want to continue to do so, but to integrate this data into Mobility Work ? Rest assured – this can be done.

How do I link orders in Mobility Work with orders in my ERP system?

Each order will have an identifier in your enterprise resource planning system. When you copy orders into Mobility Work, this identifier will also be copied to your Mobility Work order, providing a unique number across both system.

What information will be copied to my orders in my Mobility Work system?

Your orders will be copied to the order module in your maintenance management software. This will contain the following information:

  • Order description
  • Order creation date
  • Company to which the order will be sent
  • Label
  • Expected delivery date
  • Order status
  • Associated task
  • Designation
  • Customer reference
  • Supplier reference
  • Quantity
  • Unit
  • Unit price ex. VAT

You can also add custom fields to your orders if you wish to copy other information from your enterprise resource planning system.

Do I need to enter orders in my Mobility Work or in my enterprise resource planning system?

You can choose either of these solutions. Thanks to the Mobility Work maintenance software's PLCs, you can send or receive data from any system. However, the best solution is to enter your orders into your enterprise resource planning system and then copy them over to Mobility Work. We recommend that you continue to manage your cash flows in your enterprise resource planning system as, more often than not, this will be important for your company's cost accounting, but both options are available.

How often will my spare parts data be copied?

The frequency is entirely up to you: data may be copied every day, every hour or every 10 minutes.

Where will the data copied from my ERP system be stored?
