Why adopt preventive maintenance software?

Why are more and more businesses using software to manage their preventive maintenance? Because it works!
Developing preventive measures is the number 1 objective of many maintenance managers. If they have difficulty setting up preventive maintenance routines or plans, it is often because they do not have the right tools.
By using a CMMS software to manage the preventive maintenance, it is easier to manage and the company increases its profitability by limiting the number of production stoppages and by improving the availability rate and the lifespan of its equipment.
Preventive maintenance: definition and advantages
Definition of preventive maintenance
Preventive maintenance refers to any type of routine carried out on equipment or a machine in operation and aimed at avoiding unexpected shutdowns. Its objective is to limit production stoppages and reduce costs that require emergency repairs.
Examples of preventive maintenance actions
Here are some examples of preventive maintenance actions:
- general inspection of a machine;
- cleaning;
- lubrication;
- draining;
- replacement of worn parts.
Preventive also involves keep the history of all interventions carried out, in order to adapt the frequency of interventions according to the observations of the technicians. For example, analyzing the history of preventive maintenance may show that a belt could only be replaced every 6 months rather than every 3 months.
The types of preventive maintenance
There are 2 main types of preventive maintenance:
- The systematic maintenance : these are inspections and interventions carried out systematically, according to criteria of time (every month for example) or usage (every 10,000 km for example);
- The conditional maintenance : it is based on the observation of the operating state of a machine, and interventions are carried out according to key indicators.
What are the benefits of preventive medicine?
The implementation of a preventive maintenance strategy has many advantages for businesses:
- reduction in the number of breakdowns and therefore production stoppages;
- increase in the life of equipment;
- improving safety;
- reduction in the costs associated with urgent repairs;
- history of interventions to facilitate audits and inspections.
What software should you use for preventive maintenance?
To manage the planning and monitoring of preventive maintenance interventions, the use of specialized software is highly recommended.
What is preventive maintenance software?
Preventive maintenance software is a computer program specially designed to make the planning and execution of preventive maintenance tasks easier and more efficient. It is generally a GMAO, i.e. computer-aided maintenance management software, including a “maintenance plans” feature.
What are the advantages of a CMMS for prevention?
The use of preventive maintenance software makes it possible to save on operating costs and promote operational efficiency, which improves the profitability of the business. In addition to the general benefits of preventive maintenance presented above, preventive maintenance software allows:
- of create a maintenance schedule, or maintenance plan, for each piece of equipment: it is a calendar of all planned tasks;
- Ofsave intervention reports for each task, to allow detailed monitoring of interventions and identify areas for improvement;
- Ofintegrate checklists : technicians who carry out preventive maintenance tasks thus have easy access to the list of all the actions they must perform during their preventive maintenance routine, so as not to forget anything;
- to have access to all this information on smartphone or tablet, thanks to a mobile application: this makes the work of technicians much simpler and prevents oversights and the loss of information, while saving them time.

How to manage preventive maintenance with a CMMS?
La preparation of a maintenance plan should be based primarily on the rmanufacturer's recommendations of the equipment and on the possible regulatory standards, which must be complemented by the Technicians' observations of maintenance and thehistory analysis interventions if they exist.
Then, creating a maintenance plan in CMMS is very simple. Simply go to the “maintenance plans” tab and fill in the required fields:
- equipment covered by the plan;
- description of the task to be performed;
- technician (s) assigned to the maintenance plan;
- periodicity of the task to be performed.
It is also possible to indicate whether the maintenance plan is regulatory or not, and to attach a checklist detailing all the actions to be carried out.
Then, the technician (s) concerned are informed in their schedule of the tasks to be carried out as part of each maintenance plan. It's as simple as that!
